HWS Privacy Policy

HWS is a work coordination, intelligence and decision-support service operated by HumbleWorks (“HWS”, “HumbleWorks”, “we”, “us” or “our”).

This Privacy Policy explains how personal information may be collected, used, generated, stored and disclosed when individuals and organisations use HWS, including HWS browser extensions, connected services and related functionality.

The information processed by HWS depends on the features used, services connected, permissions granted and configuration selected by the user or their organisation.

1. Information We Process

HWS may process information including:

Account and organisational information

This may include names, contact information, account identifiers, organisation, team, role, timezone, working arrangements, permissions, preferences and related profile information.

Information provided to HWS

We may process information that users or organisations provide through HWS, including preferences, declarations, work context, projects, roles, availability information, feedback, configuration information and other content or information submitted through the service.

Connected-service information

Where a user or organisation connects a third-party service, HWS may access information made available through that service within the permissions authorised.

For example, where Google Calendar is connected, HWS may use authorised calendar information to generate availability, scheduling, coordination and other HWS functionality.

The information accessible to HWS depends on the relevant integration, permissions and features being used.

Usage and technical information

We may collect information about the operation and use of HWS, including interactions with features, settings and outputs, authentication events, usage patterns, device and browser information, timestamps, performance information, diagnostics, logs and related technical information.

Derived information

HWS may generate information from information available to the service.

This may include availability states, classifications, patterns, summaries, recommendations, trends, capacity indicators, coordination information, predictions, organisational insights and other derived information.

2. How We Use Information

We may use information to:

• provide, operate, administer and support HWS;

• authenticate users and manage accounts and organisations;

• provide connected-service functionality;

• personalise and configure HWS;

• generate availability, capacity, workflow, coordination and organisational insights;

• support planning, communication, management and decision-making;

• identify patterns, trends, dependencies and opportunities relating to work and coordination;

• analyse how HWS and its features are used;

• measure and evaluate the performance and effectiveness of HWS;

• conduct research, testing, analytics and benchmarking;

• develop, test and improve HWS, its features, algorithms, models and methods;

• develop new products, functionality and services;

• maintain security, reliability and integrity;

• detect misuse, fraud or technical problems;

• communicate with users and organisations;

• administer customer and commercial relationships; and

• comply with applicable legal and regulatory obligations.

Where information is subject to additional contractual, platform or legal restrictions, we use that information subject to those restrictions.

3. Organisational and Manager Access

Where HWS is used through an organisation, information and HWS-generated outputs may be made available to authorised individuals within that organisation.

Depending on configuration, permissions, role and available features, this may include team members, managers, administrators and other authorised users.

Information available through HWS may include profile information, availability, work context, HWS activity, derived states, summaries, patterns, trends, recommendations, capacity information, coordination information and other organisational insights.

Different users may have different levels of access.

The organisation using HWS may determine or influence how HWS is configured, who has access to information and how HWS outputs are used within that organisation.

4. Analytics, Research and Development

We may analyse information relating to the use and operation of HWS to understand how the service is used, improve user experience, evaluate functionality, develop new capabilities and improve HWS.

Where permitted, we may generate aggregated, statistical or de-identified information for research, analytics, benchmarking, product development, operational and business purposes.

The rights and restrictions applying to particular information may depend on its source.

5. Automated and Derived Insights

HWS may use automated processing, algorithms and models to generate classifications, recommendations, predictions, states, patterns, summaries and other insights.

These outputs may assist users and organisations with coordination, planning, workload, resource allocation, communication, management and other work-related decisions.

Where applicable law imposes additional requirements in relation to solely automated decisions producing legal or similarly significant effects, those requirements will apply.

6. Google and Other Connected Services

When a user connects Google or another third-party service, information obtained through that service remains subject to applicable platform requirements.

The use of information received from Google APIs will adhere to the applicable Google User Data Policy and Limited Use requirements.

Google-derived information will only be accessed, used, transferred or otherwise processed as permitted by those requirements.

Where a third-party platform imposes restrictions that are more specific than this Privacy Policy, those restrictions apply to information obtained through that platform.

Users can revoke access to connected services using the controls offered by the relevant provider.

7. Browser Extensions

HWS browser extensions may use browser permissions and process browser-related information where necessary to provide or improve disclosed HWS functionality and related operational functions.

The permissions requested and information processed may vary as HWS features develop.

Where additional permissions or materially different data practices require disclosure or consent under applicable platform requirements or law, appropriate notice will be provided.

8. Sharing and Disclosure

We may disclose information to categories of recipients including:

• organisations through which an individual uses HWS;

• authorised users, managers and administrators;

• companies within our corporate group;

• infrastructure, hosting, authentication, analytics, security, communications and other service providers;

• integration providers where required to provide an enabled integration;

• professional advisers;

• business partners where a user or organisation has requested or authorised the relevant functionality;

• regulators, courts, law-enforcement bodies and other authorities where required or appropriate under applicable law;

• parties involved in a financing, investment, restructuring, merger, acquisition, sale or transfer of some or all of our business or assets; and

• other parties where the relevant individual or organisation directs, authorises or consents to the disclosure.

Service providers may process information on our behalf in connection with the services they provide.

9. Sale and Optional Data Programmes

HWS does not currently sell personal information to third parties for their independent use.

Certain information, including information obtained through Google APIs and information subject to applicable browser-platform Limited Use requirements, is subject to additional restrictions and will not be sold or transferred contrary to those restrictions.

HWS may in future offer optional services, research programmes, integrations, marketplaces or other programmes through which individuals or organisations may choose to make information available for additional purposes.

Where additional consent, authorisation or disclosure is required for such participation, relevant information will be provided at the appropriate time.

10. Data Retention

We retain information for periods appropriate to the purposes for which it is processed.

Retention periods may vary depending on factors including the type of information, features used, account status, customer requirements, operational requirements, security and fraud-prevention needs, legal requirements and whether information has been aggregated or de-identified.

We may delete, aggregate or de-identify information when identifiable information is no longer required for the relevant purpose, subject to applicable obligations.

11. Security

We use technical and organisational measures intended to protect information against unauthorised access, disclosure, alteration or loss.

Security measures may vary depending on the nature of the information, the service and the risks involved.

No system or method of transmission can guarantee absolute security.

12. Data Protection Roles

The data protection role of HumbleWorks may vary depending on how HWS is used.

HumbleWorks may act as a controller in relation to certain information used to operate, administer, secure, develop and improve HWS.

Where an organisation determines the purposes and means for processing information relating to its workforce or other users through HWS, that organisation may act as controller and HumbleWorks may act as its processor or service provider.

Other arrangements may apply depending on the circumstances and applicable law.

13. Lawful Bases

Where UK data protection law applies, we process personal information where an appropriate lawful basis applies.

Depending on the purpose and circumstances, this may include performance of a contract, legitimate interests, recognised legitimate interests where applicable, consent, compliance with legal obligations or another lawful basis available under applicable law.

Where we rely on legitimate interests, those interests may include operating and improving HWS, providing useful work and organisational functionality, administering our business, ensuring security and developing our products and services.

Organisations using HWS are responsible for identifying an appropriate lawful basis for processing activities for which they act as controller.

14. International Processing

HWS and its service providers may process information in different countries.

Where applicable data protection law requires safeguards for an international transfer, we use appropriate mechanisms for that transfer.

15. Individual Rights

Depending on applicable law and the circumstances, individuals may have rights relating to their personal information, including rights to request access, correction, deletion, restriction, portability or to object to certain processing.

Where processing is based on consent, individuals may have the right to withdraw that consent.

Where an organisation is the relevant controller, requests relating to that organisation's processing may need to be directed to the organisation.

16. Changes to HWS and this Privacy Policy

HWS is an evolving service.

We may update this Privacy Policy from time to time to reflect changes to HWS, our technology, our business, applicable law or the way information is processed.

Where a change requires additional notice or consent under applicable law or the requirements of a connected platform, we will provide that notice or obtain that consent as appropriate before applying the relevant new processing.

The effective date shown above identifies the version currently in effect.
